
Financial Agreement
Attendance at a private Christian school is not just an expense, but a privilege and a commitment. It is an invaluable investment that yields eternal rewards. In simple terms, expenses are necessities in life, but investments are choices that have long-lasting impacts.

It is not uncommon for a Christian school to have families who are slow in making their tuition payments on time. Unfortunately, in many cases, this indicates that the family does not prioritize the importance of the school, as they would pay on time if they did.

Late payment is an expression of the value they place on what they are receiving. While their lips say that school is important, their actions speak otherwise.
As Christians, it is important to follow the biblical principle of personal responsibility for one's debts. However, it is equally crucial that this responsibility be based on a mutual agreement between both parties, with an attitude of understanding and a willingness to communicate (Luke 7:41). For this reason, we have established the following payment structure and guidelines below to hold families accountable to a standard. However, we also offer flexibility to accommodate individual family needs. Therefore, KGCA greatly appreciates your commitment to Christian education, as demonstrated by your desire to have your child(ren) educated in our school and your compliance with all policies and procedures.

Our Homeschool Cooperative Academy is backed by 17 years of experience. We strive to empower you to take the lead in your child's education. We provide hands-on learning, support, assessments, and counseling on academic matters related to the A.C.E. program, maintain permanent student records and progress reports, tracking tools, and more, all on a monthly budget that maximize savings!
Curriculum cost is included in the monthly tuition payments for the current school year. The student registration fee, Tuition, and used curriculum are non-refundable. Required literature books are included in the curriculum cost for virtual learning students only. KGCA Virtual Learning is affordable! We offer full-time enrollment with the same benefits of our in-class learning center experience in our home-based private school in the privacy of your own home.
COLLECTING TUITION
ANNUAL FEES AND TUITION may be paid using one of three plans.
Nine (9) payments, payable on the 1st of each month (Sept-May). The Instructional Fee is used to fund the instructional & and operational costs of the program. There will be discounts for families with more than one child from the same family. Please get in touch with us if you're having Financial hardship. Like most other private schools, our Tuition is based on the nine or ten-month school year. The annual tuition total is calculated with all school days taken into consideration and all school breaks/holidays. That total is then divided into nine/ten equal payments. Monthly Tuition does not vary according to the number of school days in any particular month; all school breaks/holidays have been factored into the annual Tuition.
Tuition is Prorated for Children who Enroll Late. Tuition is prorated for children starting school after the first of any month in the nine-month school year. Please note that Tuition will not be prorated if school days are missed due to sickness or personal vacation time. Again, school breaks/holidays are considered equal monthly payments.
ANNUAL AND TUITION FEES may be paid using one of three plans. All fees are non-refundable.
1. Full Payment in Advance. Parents must pay the entire payment by August 1 or September 1 for the coming school year. These fees are non-refundable should the student withdraw before (1) the beginning of the year or (2) at some time before the end of the school year. Other fees are not refundable.
2. Nine-Month Payment Plan. Nine equal payments must begin on August 1 or September 1 and must be paid the first of each month for the next nine or ten months (through May 1). (Preferred/best plan)
3. 36 or 32 Weekly Payment Plan. Equal payments must begin on August 1 or September 1 and must be paid every 1st and 15th month for approximately 36 or 32 weeks (through May 31). (Optional plan based on need)

Monthly payments are due on the 1st of each month. Unpaid Monthly balances will be assessed a 15% late fee on the 4th of each month and $10 per day until paid. If the fee is not paid by the 10th of the month, the student will be considered withdrawn unless the finance committee has approved arrangements through the administrator.
Weekly payments are due on the 1st and the 15th of every month. The 1st weekly payment not paid by the 3rd will be assessed a 15% late fee on the 4th and $10 per day until paid. If not paid by the 14th, the student will be unable to attend class and be considered withdrawn unless the finance committee has approved arrangements through the administrator.
If the 1st weekly payment is paid in full or on time, but the 2nd weekly payment is late or not paid ON the 15th of each month, there will be a 15% late fee on the 16th and $10 per day after that until paid. If not paid by the 20th of the month, the student will not be able to attend class and will be considered withdrawn unless the finance office has approved arrangements through the administrator.

Exclusion Policy:
• Non-payment of a prior year's Tuition will result in non-admission for the following school year.
• All Tuition and fees must be current on the first day of class, or the student(s) will not be seated.
• Student(s) will be dismissed at the end of a semester for non-payment of financial obligations when the financially responsible party has failed to demonstrate sufficient good faith to meet these obligations.
• Students will be allowed to complete all academic work in progress before terminating enrollment for non-payment of Tuition or fees.
• During the school year, students will not be allowed to make payments for/or participate in field trips or school-sponsored activities, including Wednesday co-op classes and music lessons.
• Eighth/12th graders cannot participate in special events and graduation exercises until all financial obligations are met.
Documentation: All special arrangements must be noted before the payment plan begins. The agreement will be entered and sent to you for monthly accuracy. For practical purposes, all payments received after the 3rd day of the month will be recorded as a late payment, AND late fees will be applied. Withdrawal: – The payment obligation belongs to the parents. The ministry will hold a student's academic records for unpaid tuition obligations. The school encourages all responsible parties to maintain open communication to ensure a complete understanding of each family's financial circumstances. The school's goal is to provide a Christian education to every student who desires one. By working together, we can make sure this goal is met.

CURRICULUM DEPOSIT
KGCA will order the 1st quarter and monthly curriculum for all new students. All families are required to pay the Student Registration Fee and the initial Curriculum Deposit per student. In addition, all new students will take the diagnostic test to ensure the proper curriculum prescription is ordered and the student is placed on the correct academic level.
All fees, registration, and testing must be completed before enrollment. After enrollment, students are given a diagnostic test for accurate placement (unless the student attended a school using the Accelerated Christian Education curriculum).
Allow 1-2 weeks to finalize enrollment, complete testing, and receive an academic evaluation. After that, you will receive a call or email to discuss the prescription and place your curriculum order. Then allow an additional 2-3 weeks to receive the curriculum.

STUDENT ENROLLMENT COMPLETED
Within 24 hours of receiving your student enrollment package, applicable fees, and curriculum deposit, KGCA will email an invoice to you to make your first tuition payment. Your payment is due before students can begin class. Once enrollment is finalized, you will be billed monthly from your parent account for the remainder of 8 months of Tuition + and curriculum.
Families will receive their student's curriculum for the 1st quarter, then monthly after that, according to the student's pace, totaling four academic quarters per year. Any unused monthly curriculum PACE books or payments at the end of the school year will roll over to the next school term. If the student(s) withdraws from school, the funds and books will be returned or credited to the parents' account.

BEFORE & AFTER HOURS
Before-hours drop-off: 48 hours Approval is REQUIRED: Students dropped off before 7:30 a.m. with or without prior approval from the administrator will be charged the $10 per hour fee (at the minute, at an hour, and within the hour) until 8:30 am. For example, if you drop off at 7:15 a.m., you will be charged $10 per hour.
After-hours pickup: Approval is REQUIRED: There is a 15-minute grace period for pickup from 2:30–2:45 pm Grace period ends at precisely 2:45 pm, then at 2:46 pm, $10 per hour (at the minute, at an hour, and within the hour) you will be charged after that. For example, arriving at 2:46 p.m., you will be charged $10 per hour. The cost for this service is due at the beginning of each week on Tuesday, with NO exceptions.
CHESS Co-op day: Wednesday, students must be picked up by 3:30 p.m. The same policy stated above must be honored. I appreciate your commitment to being on time to pick- up your child or drop them off at the mandated time. Therefore, chronic non-compliance (late pickups or early drop-offs) will be up for review to be removed from the program. We are happy to provide this service to our working parents but would appreciate you honoring our policy. Thank you for being so committed to being on time to pick- up your child or drop them off at the mandated time.

FINANCIAL ASSISTANCE
KGCA offers some tuition assistance based on a family's financial needs. KGCA prays for discernment to help as many families as possible by discounting or waiving part of the tuition cost. Completing the application and a personal interview with the family provides an equitable process to review and pray about each family's financial information.
